General


Once you have paid via the internet using your credit or debit card your XTM Cloud account will be automatically created. You will then receive an email with your log on details, so within a few minutes you can be translating your first job!


XTM Cloud is the Software as a Service version of XTM, our web based TMS (translation management system) CAT (computer assisted technology) tool. The software runs on our servers and you access it via a web browser.

Subscription


You can pay for your XTM Cloud subscription on-line using a credit or debit card. We accept Visa, Visa debit, Mastercard, Solo and Visa Electron. We also have an online facility for paying via Paypal. Payments may be made in GB Pounds, Euros or US Dollars. If you would prefer to send us the payment directly then please contact us on sales@xtm-intl.com or call us on +44 1753 480 469 .


Any unused words from your standard allowance or additionally purchased words can be carried forward from one month to the next. In the next month your standard allowance and purchased words will be used first and then any words brought forward from the previous month. Words can only be carried forward for one month.


Your XTM Cloud administrator can upgrade the subscription by logging on and going to the Configuration tab and then the Renew subscription tab. Any unused months of your existing subscription will be refunded to you.


Yes your XTM Cloud administrator can purchase additional words by logging on and going to the Configuration tab and then the Renew s ubscripti on tab.


At the end of your first three months you can either take out another subscription for a fixed period or continue to pay for XTM Cloud on a monthly basis.


You can cancel your subscription to XTM Cloud after the initial three months.


The minimum period for an XTM Cloud subscription is 3 months. However if you take out a subscription for 12 months then you will receive a 10% discount.


For a “named user” system the administrator can only create the defined number of named users in XTM Cloud. With a “concurrent user” system the administrator can set up any number of users in XTM Cloud, but only the defined number of users can connect at any one time.


  1. Access to XTM Cloud for the specified number of users for the agreed period.
  2. The ability to create translation projects up to the specified maximum number of words.
  3. Support: We provide first class telephone and email support Monday to Friday from 8am to 11pm CET time.
  4. Upgrades: All software upgrades are loaded by our support staff as they become available. This means that you and all your team will always be using the latest version of the software.
  5. Server maintenance: You do not need to worry about server maintenance as we take care of that.

A freelance account is for a single named user and comes with a set number of words that can be processed each month.
A group licence is for 2, 3 or 4 named users who wish to work together on translation projects. You can choose how many words you want to translate each month.
An enterprise account is for a specific number of concurrent users. You can create any number of users, but only the specific number can connect at one time. The Enterprise account allows you to translate an unlimited number of words each month.

There is also a menu item in XTM Cloud that enables you to report a problem with a specific project. Using this feature sends all the relevant information about the project to the support team to enable them to resolve your issue quickly.


The email we send you after signing up for XTM cloud will contain a link to the XTM manual and also a Getting started guide.


XTM is very simple to learn. Take a look at the free online XTM training videos, which are available here. Then download the manual, and in most cases this will give you enough information to use XTM effectively.

In addition every month we have free online training sessions which you are welcome to attend.

If you would prefer one- on-one training where you can ask specific questions, this can be arranged at a cost of £50 per hour. One hour with your XTM trainer should be more than enough to make you confident in using XTM Cloud.

Security


No. The payment is securely processed by SagePay. XTM Cloud only receives confirmation of payment, without any of the card details.


XTM Cloud is hosted on servers located in a state of the art facility at one of the largest international Internet hosting company in Europe. Through them we can guarantee a network availability of 99% for the infrastructure of their computer centre. The centre has the following features:

XTM Cloud guarantees full protection for your data. The system uses the secure https protocol, just like secure credit cards payments so that all your translation data is securely encoded during the translation process.
The XTM Cloud Services are securely hosted in a professional state of the art facility ensuring full protection for your data.

Since all of the data in XTM is securely partitioned no other XTM Cloud customer has access to your data.

Your unique login credentials guarantee that only you or your nominated users can access the data.

In addition XTM Cloud ties an individual user to a PC which further prevents any attempts at unauthorized access. Users can only access XTM Cloud through an authorized PC.

Yes. You can upload any existing translation memories you have to XTM Cloud. There is a straight forward process to import TMX files. You can also import terminology data into XTM Cloud. It is also possible to export your TM and Terminology from XTM Cloud when you have finished.

Release notes

General

  • There is a new feature to send email notifications to users when a new chat is created or when a user has been added to an existing chat in the XTM Messenger.
  • There is a new segmentation method for projects with pre-processing.
  • It is now possible to import and export offline translation XLIFF files with font formatting.

  • It is now possible to maintain inline elements during alignment.

  • XTM now incorporates a new chat feature XTM Messenger to allow communication between linguists and project managers.

XTM Project Manager

  • The cost calculation for continuous projects has been extended to include a history of costs and automatic estimates.
  • There is a new feature to store LQA results for the linguist who performed the translation.
  • There is now an option to assign linguists to projects when their language pair has a different language variant.

Terminology Manager

  • Interverbum’s TermWeb is now fully integrated as an alternative terminology solution.
  • The terminology extraction feature has been improved and now supports Japanese.
  • There is a new option to disable term decoration for terms without translations.
  • The terminology export now includes all concept and term fields by default.

Translation Memory Manager

  • It is now possible to import translation units with inline elements from Excel files.
  • It is now possible to open concordance in a new browser window.
  • XTM Bridge now supports custom configurations for TM import.

XTM Editor

  • XTM Editor can now display information about inline elements below the segment.
  • There are new shortcuts in XTM Editor to open the next and the previous files.

XTM Align

  • The text alignment module has been improved.

XTM Connect

  • There is a new independent XTM Connector for Sitecore.

  • The functionality of XTM Bridge has been improved.

XTM Editor

  • The docked panel at the foot of XTM Editor can now display source terms from the active segment and their translations.

  • Term recognition now works better with Asian languages.

General

  • The terminology extraction and text alignment modules have been improved.
  • It now possible to use the source text from TMX files when creating a project. Then after translation you can generate a TMX file with all the target languages from the project.
  • When processing XML files it is now possible to upload via the interface or API images as “Preview files”. The images can then be used to generate a WYSIWYG preview, provided that a suitable XSLT style sheet has been prepared.

XTM Engine

  • When processing Microsoft PowerPoint files, ScreenTips can now be taken for translation.

  • It is now possible to import TMs with segment IDs from Excel.

  • In a continuous project with a preprocessing step, there are new options to reopen preprocessing and reactivate the workflow to update the source files, without interrupting the translation process.

  • There is a new option in project creation to allow or disallow not approved terms from being used in a project

XTM Connect

  • There are improvements to the ClayTablet integration
  • The REST API has been extended to include

Machine Translation

  • OnelinerMT has been integrated into XTM
  • It is now possible to process a file from end to end entirely automatically using project templates and MT
  • It is now possible to configure XTM so that updated translations are not sent to MS MT hub

XTM Editor

  • Users can group segment filters together. These groups are given a name and can be selected from within XTM Editor.
  • There is a now a possibility to download reference materials from the preview icon in XTM Editor
  • Statistics are now calculated correctly if segments are merged and the match type changes.
  • Segment filters have been improved to allow AND or OR
  • There is now an option to hide task metrics from linguists

XTM Engine

  • XTM now supports mqxliff files.
  • The performance of the process to decorate terminology during file analysis has been improved.
  • Improvements to the RESX filter

XTM Align

  • When using the alignment tool it is now possible to upload zipped source & target files.
  • Various improvements to XTM Align alignment algorithms and in-memory dictionary size during processing.

Security

  • LDAP configuration is now available to XTM Cloud customers.

  • Many alert pop up messages have been changed to use the XTM standard pop up

Editor

  • It is now possible to configure XTM to display custom segment meta data in additional columns in XTM Editor.
  • If custom meta data is configured there is a new segment filter to find segments with specific meta data.
  • When in read only mode in XTM Editor it is now possible to view the term meta data in a mouse-over.

XTM Engine

  • Improvements to the .resx file filter.
  • XTM now supports DITA 1.3.
  • The integration with Adobe InDesign Server has been improved making it a configurable option for XTM Cloud and XTM Suite systems.

API

  • The XTM Connect SDK now includes methods to allow the import and export of terminology.

XTM Aligner

  • The XTM Aligner now produces two files:
    • All the segments
    • Only the segments with greater than 90% of accuracy.

Project manager

  • It is now possible to create a penalty profile for multiple leveraged or ICE matches in a segment.
  • There is a new access option for users to restrict their access to only their own projects.
  • There is a new action in the project context menu to finish all workflows.
  • There is a new action in the project context menu for a closed project to reopen all files for all languages.
  • The settings for MT matches are now also available on the Customer, Project and Template level.
  • The option to mark an ICE matched segment as locked is now available on the customer, project and template level.

Portal

  • There are improvements to how XTM Portal handles projects from returning customers.

Project Manager

  • A customisable dashboard for project managers has been introduced to display a management overview.
  • Rate cards for linguists and LSPs now include an option for a rate per hour and a premium for rush jobs. POs can be generated from these figures.
  • The time spent on a task can be recorded in 4 ways:
    • Project managers can enter an agreed time before the translation
    • Project managers can manually enter the time after the translation
    • Linguists can manually enter time after the translation in MyInbox
    • XTM can automatically log the time spent by the linguist
  • A time column has been added to all costs and metrics reports
  • It is now possible to receive an email when a project has not been created for a particular customer within a specified time period.
  • A pre-processing step can now be introduced in the workflow. This allows users to correct the source content, lock segments or to create a pivot language.
  • It is now possible to create user definable custom fields for projects, which can then be used in searches.

XTM Connect

  • The link between XTM and XTRF has been enhanced so that delivery services in XTM creates an XTRF workflow step.
  • A new call back has been added to the web service API that can be activated when the project analysis has finished and as each task in the workflow has
  • finished.

  • It is now possible to search concordance via the Web Service API within the TM of all customers.
  • When using XTM Bridge, it is now possible to set whether XTM should generate the target files as soon as a language is complete or only when all languages are
  • complete.

XTM Engine

  • XTM now converts pdfs that contain text to MS Word documents so that formatting is retained.
  • euroscript’s machine translation system has now been integrated into XTM and can be used during project analysis or in XTM Editor.
  • The integration with AsiaOnline MT has been improved.

XTM Editor

  • There is a new translation environment for XML and HTML files that enable the user to translate in WYSIWYG mode.
  • MyInbox has been enhanced so that
    • The customer nickname can now be displayed
    • Data from project custom fields can now be displayed in the i icon pop up.
    • The total words and progress is now displayed for each file and as a total of all items in MyInbox
  • The time taken by a linguist can now be stored and made available in statistics. It can be calculated automatically for each segment or entered manually by
  • the linguist for a task.

  • It is now possible to generate previews of Photoshop files and it is no longer necessary to refresh the layers in Photoshop when generating the target file.
  • The “track changes” way of displaying the differences between source and fuzzy source has been applied to the corrector comments.

Terminology manager

  • The terminology extraction module has been optimised for German, Dutch, Danish, Spanish, Portuguese and Swedish.

TM Manager

  • It is now possible to align previously unaligned texts in XTM. Upload source and target files and download the corresponding Excel file of the TM.

General

  • The XTM Interface has been localized into German and the localizations for Japanese, Polish and Canadian French have been updated.

XTM Editor

  • The way the differences between source and fuzzy source are displayed in XTM Editor has been improved.
  • The project description and reference ID are now visible to the linguist in MyInbox.
  • The formatting of text in XTM Editor and in the target file has been improved for RTL languages containing LTR characters.

Project Manager

  • It is now possible to set the cost for non-analyzable files.
  • The Costs and metrics report has been extended to include the price per step and price per linguist.
  • There is a new layout for the Project Template Editor window.
  • Microsoft Translator can now be configured at the customer level so that it is possible to have multiple hubs.
  • Microsoft Translator can now be run as part of the project creation process.
  • Project management fees and MT metrics are now visible and editable in the project estimates.
  • The project delivery dates report has been enhanced to add the finish date for each language. The dates are colour coded depending on whether the steps were overdue.

General

  • The globalization of date formats and calendar date pickers has been improved.
  • PMs and admins can now be advised by email of XTM Cloud server updates.

XTM Editor

  • There are now keyboard shortcuts for Concordance search in target language and Concordance search in source language.
  • It is now possible to apply a filter in XTM Editor to display segments assigned to a specific linguist.
  • The HTML preview of Word files can now contain links so that if you click on the text you go to the corresponding segment in XTM Editor.
  • For selected MT engines there is now an option to automatically insert MT matches into the target segment when no TM match is found.
  • There is now an automated step to change the XTM status of segments.
  • There is a new option in Project Editor – Files called “Excel view” that exports strings from XTM Editor as an Excel file.
  • The Fuzzy repetition label has become a link to the segment which is the first instance of the fuzzy text.

Project manager

  • Linguists can now be made customer specific so that the list of available linguists to be assigned to projects is filtered.
  • For Excel source files there is a new option on “All files” on Project Editor->Files to generate a single Excel file with a column for each target language in the project.
  • The XLIFF file that can be downloaded from XTM now includes MT matches if they are present.
  • MT matching using Tauyou is now preformed for the whole file as part of the project creation and not on a segment by segment basis from XTM Editor.
  • Numbers are now automatically displayed in the target segment in the appropriate format for the target language
  • The user’s terminology access permissions are now taken into account when using Open ID
  • It is now possible to set the message to linguists on finishing a task so that it only appears for the last step in the workflow.

XTM Connect

  • When XTM is integrated with InDesign Server it is now possible to create a PDF preview of the target file where the target text acts as a link to the appropriate segment in XTM.
  • When using InDesign Server it is now possible to generate a PDF preview of IDML target files where the target text is colour-coded according to:
    – The match rate
    – The segment status
  •  There are various enhancements to the XTM Connect Clay Tablet connector.
  • A simple REST API has been added to XTM Connect which has following methods:
    – create project (simple version)
    – check project analysis completion
    – check project completion
    – generate job file
    – check job file completion
    – download job file
    – obtain project estimates
    – Search for project
    – Delete projects
  • All the CreateProject methods in the API now have the possibility to provide a call back URL which will be invoked when the project is completed.

XTM Engine

  • When the source file is an XLIFF, the alt-trans elements are now processed correctly, so that matches from source XLIFF are available for translators in XTM Editor.
  • If an SDLXLIFF file contains HTML, XTM will now substitute the HTML with an inline element for translation and then reinsert the HTML in the target file.
  • It is now possible to apply regex expressions to a source file before matching
  • Filter enhancements for HTML5 source files.

XTM Editor

  • When using TermWeb as the terminology management system it is now possible to add terms from within XTM Editor.
  • When using the XTM Easyling integration clicking on a sentence in the web page preview now automatically takes you to and activates the corresponding segment in XTM.

XTM Engine

  • XTM is now fully compatible with the new XLIFF generated by Easyling.
  • More efficient use of hard disk space has been made for XTM Suite.
  • There is a new file filter for .STF files (salesforce translation files).

Project Manager

  • Two new user roles have been created:
    1. PM – Project creator & viewer
      Can create projects using a project template.
      In project editor is limited to read only access and does not have access to statistics, workflow assignments or XTM Editor.
    2. PM – projects and customers
      Similar to PM – Project creator and viewer, but in addition can access specified customers, confirm projects, generate files.
  • It is now possible to set whether or not linguists can download source files.
  • Various improvements to the supplier PO including an improved layout, the PO date, and a label to state if it was based on metrics or statistics.

Administrator

  • XTM now provides support for integration authorisation with 3rd party system using OpenID.
  • The workflow tab in Configuration has been moved from Data to Settings.

XTM Connect

  • There is an enhancement of the XTM web service API to find out the status of an automatic step in the workflow. If it is showing an error, then it is possible to run the automatic step again.
  • There is a new API method to calculate the number of repetitions between two projects with the aim of reducing the amount of duplicated work.

Project manager

  • There are new options to:
    • Allow the PM or linguist to set whether or not the step is chargeable
    • Download only the target files that were processed
    • Define what types of file linguists can download and upload
    • Give subcontractors access rights to your TM and Terminology
    • To give users access to multiple customer’s TM and terminology without giving them access to all TM and terminology
    • Specify TM access rights to Customer PMs

    • Automatically finish steps that are green/done after file analysis
    • Require authorisation before starting the workflow, if the project contains more than a set number of words
  • Fuzzy matches are now shown as separate lines on the purchase order
  • POs now have an automatically generated unique PO number
  • There is a new column in the PO listing confirming whether it has been sent and allowing the user to download the PO
  • When a user is deleted from the system the workflow still retains their name for the tasks they performed
  • There is a new type of user group where users can now be given a priority. Tasks allocated to the group are sent to the first user who can accept or reject the task. If rejected, then it sent to the next user and so on
  • There are new reports that can be downloaded in Excel giving:
    • The word count of selected projects
    • The metrics and costs of selected projects

Terminology

  • TermWeb has been integrated into XTM so that it can be used in place of the XTM terminology module. (This is the first part of the integration.)
  • It is now possible to set tags for imported terminology

TM Manager

  • It is now possible to Search the TM by:
    • Project ref ID – This item can be activated as required
    • XLIFF:doc status
    • The current, deleted and historic TM segments
    • The “does not contain” field without completing the “Search phrase” field

  • This new XTM module incorporates the XTM web service API as a software developer’s kit (sdk) and also out of the box connectors for a number of third party systems and CMSs

    • Obtain project estimates
    • Download only the latest version of any manually uploaded target file
    • Download XLIFF:docs

XTM Editor

  • It is now possible to define keyboard shortcuts for selected special characters
  • There is a new option that sets the segment status to red in the following steps if a comment is added to the segment
  • There are now improved hints for inlines for whitespace for idml, mif and Microsoft Office files
  • In a continuous project when updating the source files the original matches will now be maintained
  • Short cuts can now be deleted and the shortcut field left blank
  • There are new shortcuts in the XTM Editor:
    • Ctrl + Del and Ctrl + Backspace deletes whole words
    • There is a new shortcut for deleting all the words from the insertion point to the end of the sentence
    • The overwrite mode can be toggled using the Insert key

  • There is a new faster way to delete TM from within XTM Editor directly in the TM popup
  • Terms are highlighted in the source text even if there is no translation available
  • A new review option is available that allows users to download a pdf file, add segment notes as a “sticky note” and then import the notes as comments into XTM
  • It is now possible to finish or reject a task from within XTM Editor. The next task will then be automatically displayed

XTM Engine

    • XTM can now produce XML, Words, Excel or InDesign files target file where the text is coloured depending on the match type or XLIFF:doc status
    • When creating a project users can now select an analysis template that specifies the SRX and ITS rules to be used
    • A new action has been added to TM penalty profiles that reduces the priority of the match
    • Matches penalised in the way are shown lower down on the list of matches in XTM Editor
    • XTM now supports Photoshop source files
    • There is a new, bilingual xliff filter that supports all types of inlines and automatically inserts the matches into the target segment
    • The extended pdf table preview has been improved
    • Improvements have been made to the segmentation of translatable attributes and subflow segments in XML files
    • During analysis fuzzy repetitions are now calculated across all the files in the project
    • XTM now supports SubRip or .srt source files
    • A new table pdf preview is now available that shows all the target text from one paragraph in one cell
    • There are improvements to the Asia Online integration so that if the file is processed and there was a problem with the connection then it will be repeated
    • Stemmer functionality has been added for the Flemish language

General

    • The Chinese translation of the XTM interface has been updated
    • There is a new configuration item to set whether the user password should be saved by the browser
    • A new tab called “My account” has been created for XTM Cloud users. This tab contains all the information that used to be on the old Renew subscription, Payments and Billing Details tab

XTM Editor

  • When the target language is a right to left language, it is now possible to insert the hidden markers, right-to-left mark (RLM) or left-to-right mark (LRM), where the language switches direction. The short cut for this is Alt+0.
  • A new item has been added to the left hand tool bar that allow users to make a batch change of status for all segments on the page or all segments allocated to the user in the current file.
  • New segment filters to show:
    • Exact matches that have been penalized.
    • Only those segments that were changed in a selected workflow step.
  • The version history for each segment has been enhanced to include the date changed and the name of the person editing the text.
  • The repetition label next to a match is now a link to call the repetitions filter.
  • The TM match status is now shown next to the match type.
  • Right clicking on a match shows a popup where it is possible to choose to update the match with the target text.
  • Segments can be marked as locked depending on the match type or the XLIFF:doc status.
  • The handling of inline elements, such as {1}, has been improved. It is now possible to drag and drop them from source to target and within the target segment.
  • Find and replace now works across all files in the project.
  • The shortcut customisation menu has been improved.
  • There is a new shortcut (Shift+F2) to change the case of the whole segment or selected text in a segment.
  • There is an improved right click context menu giving access to functions from the tool bars

QA

  • There is a new LQA feature based on the QT Launchpad MQM specification that provides a customisable environment to review the quality of a translation and calculate a quality score.
    • Within Customisation > Settings > QA it is possible to select the issues to measure, set the severity multipliers and weight for each item.
    • It is possible to set whether the issues shown in XTM Editor, should be hierarchical or all presented on the same level.
    • Within XTM Workflow editor it is possible to define which steps will have LQA available.
    • A new default workflow step has been created which can be incorporated into workflows and workflow templates.
    • In XTM Editor if the LQA has been activated the list of issues appears just below each segment and the relevant item easily selected from a popup.
    • The LQA report is accessed from the context menu either in the project listing or in the files tab in the Project Editor.

TM Manager

  • It is now possible to add a negative search phrase to a positive search, so that segments that contain specific text are not found.
  • There are improved searches for fuzzy TM queries in CJK languages.

Terminology

  • Terminology extraction
    • There is now an option to extract a list of candidate terms from the source files during analysis.
    • The extracted terms are available as an Excel file from the download option of the project context menu.

Project manager

  • There is a new extended PDF or HTML report where it is possible to choose to include any of the following:
    • Segment number
    • Segment ID

Workflow

  • The creation of new workflow steps has been enhanced. The step can be automatically appended to user’s records and created in subcontractor’s systems.
  • If a step has been renamed in a project that has been subcontracted, the step will also be renamed in the subcontractor’s system.
  • There is a new configuration item to set how tasks are allocated to users in first come first served work groups.
  • Exported XLIFF:doc files now contain the string ID.
  • The existing automatic step has been enhanced to by adding the option to approve TM according to specific criteria.

Engine

  • If the only difference between a fuzzy source match and the new source is a single numeric value, then the numeric value in the fuzzy target is replaced with the current source value and the match upgraded to a leveraged match.
  • It is now possible to set XTM to ignore custom kerning when processing InDesign files.
  • ICE matching can now be disabled in the xml configuration file when ID based matching is used.

Web Service API /Integrations

  • A new method has been added to access concordance.
  • A new method has been added to step forwards and backwards in the workflow.
  • It is now possible to search for projects by the customer descriptor.
  • The workflow for non-analyzable files can now be set via the API.
